HSLDA is seeking an Events Coordinator to handle tasks for conferences and internal company events. This is a full-time position, located onsite in our Purcellville, VA office. (This position is not remote.)
What You Will Do
- Assist with scheduling and training HSLDA staff to represent HSLDA at conferences
- Book staff travel (flights) to conferences, special events, and our national conference
- Assist with research and coordination of efforts for our national conference
- Communicate with HSLDA staff and speakers on conference information, shipping, and travel details
- Complete administrative duties accurately for each conference or event
- Maintain documentation used to compile year-end reports and references for events and conferences
- Coordinate with internal departments for print and email collateral
- Maintain financial records and provide regular reports to Director of Events
- Coordinate with vendors and organizations in a professional manner
- Maintain brochure and event décor inventory
- Perform administrative needs for the Director of Events
- Aid in the planning and implementation of all internal events
- Travel to 2–4 HSLDA conferences each year, as well as our national conference
- Perform other related duties and special projects as assigned
What You Need for This Position
- Associate’s degree or higher required, bachelor’s degree OR equivalent work experience preferred
- Proficiency in Microsoft 365
- Experience with Wrike and Basecamp Project Management, Sage Intacct, and Salesforce preferred
- Attention to detail and excellent organizational skills
- Strong verbal and written communication skills
- Ability to multi-task and prioritize tasks in consecutively running projects
- Strong interpersonal skills
- Ability to travel to conferences 20–35 days per year, mostly on weekends (typically Thursday to Sunday)
- Ability to lift at least 50 lbs. and be capable of standing, squatting, or walking for long periods of time
